In this role, you provide support around the office and to the managing director with all secretarial, administrative, organizational and primary accounting tasks. As an Office Assistant, you keep the overview and are able to multitask. You work accurately and have a flexible working attitude. Tasks include the following, but not limited to:
General Affairs:
• First point of contact for visitors and calls
• Providing support to expats and business travellers from group companies
• HR tasks including holiday records, pension and sickness report
• Assisting in filling all necessary paperwork related to the aforementioned tasks
• Assisting the Japanese Managing Director with daily tasks upon request
Accounting :
• Collecting invoices/receipts
• Monthly bookkeeping including correspondences with an external accounting house and head office
• In charge of payment arrangement, payroll processing through external accounting house and data input
Sales:
• Arranging business trips and managing itineraries as well as travelling paperwork
• Collecting data and information about the market and industry trends
• Collecting price information and sample arrangement information from emails/records
• Sharing updates and market information with the group companies in Japanese
• Liaison with business partners, colleagues and Managing Director
• Arranging sample dispatch, running necessary errands for exhibitions and trade shows, researching on venues
• Handling clients communication regarding contracts
